Solving the Hidden Challenge of Event Management for Google Student Ambassadors
How We Used Gemini & Firebase to Help Google Student Ambassadors Never Lose Points Again
By Ganesh Naidu P – NCET Google Student Ambassador (GSA) 2026
The Problem That No One Was Solving :
https://www.ncetstudenthub.live/
Every college event organised by a Google Student Ambassador comes with a silent killer: feedback attrition.
Students attend the fun night, enjoy the Gemini‑powered activities, and then… vanish. They never fill out the feedback form. As a result, GSAs lose activity points – even though the event was a success.
Worse, there was no central system to track who registered, who actually gave feedback, or how many participants an ambassador personally brought in. Manual Excel sheets got lost, duplicate submissions wasted time, and students would simply ignore the feedback link after the event.
The real, local problem (India, Karnataka):
“How can GSAs ensure 100% verified feedback from every registered student, while automating follow‑ups and maintaining a public proof of their work – all without extra manual effort?”
Our Solution: NightCap Feedback – A Digital Bouncer for Event Feedback
We built a complete feedback gateway & admin dashboard that acts like a “digital bouncer” – students cannot reach the actual feedback form until they prove they were registered.
Once a GSA shares a unique link, the system:
Registers students (with USN/name validation) and assigns them to that GSA automatically.
Blocks unregistered users from submitting feedback.
Records every submission – so GSAs know exactly how many of their students completed the form.
Redirects only verified students to the real feedback form (Google Forms).
Provides a public updates feed showcasing event photos, announcements, and GSA achievements.
The result: No more lost points. No more fake entries. No more manual reconciliation.
How It Works (Page‑by‑Page)
π Home Page – Public Intro & GSA Showcase
Glassmorphic design with live GSA profiles. Clicking any ambassador auto‑fills their ID on the registration page.
π Registration Page
Students enter their USN, name, mobile, email, and choose a preferred language.
The system queries Firebase to find an available GSA who speaks that language and has open slots.
If a student is from outside NCET, USN validation is waived.
Success triggers canvas confetti + audio blip – then redirects to the feedback gateway.
π Feedback Gateway (/feedback)
The core innovation: students enter their USN and name again.
The backend checks Firebase if this USN exists in the registrations table.
✅ Exists → records submission in Firebase, fetches the GSA’s custom redirect URL (or global fallback), plays confetti, and forwards to Google Forms after 1.8s.
❌ Does not exist → blocks access with “Please register first”.
System Architecture
The platform follows a hierarchical management structure:
Super Admin
The Super Admin controls:
- Global configurations
- Student Ambassador management
- Event-wide settings
- Content moderation
- Registration monitoring
- Feedback monitoring
Google Student Ambassadors (GSAs)
Each ambassador receives:
- Personal dashboard
- Unique registration link
- Unique feedback link
- Participant management tools
- Communication tools
- Analytics access
This ensures every ambassador can independently manage their participants.
Registration Workflow
Step 1: Student Registration
Each GSA receives a personalized registration link.
Example:
/register?gsa=3082
Students register through this link.
The system captures:
- USN
- Name
- Mobile Number
- Department
- Assigned Ambassador
Step 2: Automatic Allocation
The platform automatically:
- Verifies available slots.
- Assigns students.
- Prevents quota violations.
- Maintains clean registration records.
This eliminates spreadsheet chaos.
Communication System
One major feature of the platform is centralized communication.
From the dashboard, ambassadors can:
Send Emails
The system automatically prepares email recipients using registered student data.
Benefits:
- No manual copying.
- Faster communication.
- Better participant engagement.
WhatsApp Outreach
Registered participant information can be used for WhatsApp communication workflows, helping ambassadors reach participants quickly.
This significantly reduces administrative workload.
The Core Innovation: Verified Feedback Gateway
The biggest problem we wanted to solve was feedback verification.
Traditional process:
Event Ends
↓
Google Form Shared
↓
Many Students Ignore It
↓
No Tracking
↓
Low Feedback Numbers
Our process:
Event Ends
↓
Student Opens Feedback Gateway
↓
USN Verification
↓
Identity Validation
↓
Feedback Access Granted
↓
Submission Recorded
How It Works
Students first enter:
- USN
- Name
- College Name
- Year of Study
- Branch
- State
- City
The system verifies whether the student was actually registered.
If not registered:
Access Denied
If registered:
Access Granted
The platform records the submission and redirects the student to the actual feedback form.
Benefits
Ambassadors Know Exactly Who Submitted Feedback
They can instantly identify:
- Submitted students
- Pending students
- Feedback completion statistics
Reduced Fake Responses
Only verified participants can proceed.
Better Impact Reporting
Ambassadors can confidently report:
- Total registrations
- Total feedback submissions
- Participation metrics
This directly helps improve event reporting quality.
Additional Platform Features
Home Portal
The public website includes:
- Community introduction
- Ambassador showcase
- Event information
- Certification displays
- Mobile responsive design
- Light/Dark mode support
Updates Feed
A dedicated updates section allows ambassadors to:
- Publish announcements
- Share event posters
- Display flyers
- Maintain a public activity timeline
Students stay informed without relying solely on messaging apps.
Registration Analytics
The system provides visibility into:
- Total registrations
- Ambassador allocations
- Participation trends
- Dashboard statistics
This enables better event planning.π§ Google Tech Stack & AI Integration (The “Antigravity” Workflow)
To satisfy the Gen AI Academy APAC requirements, we went all‑in on Google technologies:
| Component | Google Technology Used |
|---|---|
| Database | Firebase Firestore (real‑time registrations, submissions, config) + Firebase Realtime Database (live registration counter shown on a 3D rotating cube) |
| Authentication | Firebase Auth (for GSA login – we later switched to JWT but kept Firebase Auth for demo) |
| AI Code Assistance | Gemini 1.5 Pro – used to generate 70% of backend API endpoints, sanitise inputs, and write complex SQL‑like queries for Firebase. We called this workflow “antigravity” because the AI lifts the heavy logic, letting us focus on user experience. |
| Content Generation | Gemini API auto‑generates announcement captions based on event photos and suggests personalised emails for GSAs to send to students. |
| Feedback Analysis | After submissions, a scheduled Cloud Function calls Gemini to summarise open‑ended feedback and detect sentiment – giving GSAs actionable insights. |
| Google Forms | The final redirect destination (every student’s journey ends in a Google Form). |
| Google Workspace (Gmail) | Bulk email drafts open via mailto: links with Bcc lists. |
| Deployment | Google Compute Engine (e2‑micro VPS) + Namecheap domain pointing to the VM’s static IP. |
π€ How Gemini Supercharged Development (The “Antigravity” Method)
“Antigravity” – our internal term for using Gemini to generate, refactor, and debug the entire codebase.
Examples:
Gemini wrote the confetti animation logic (Canvas + particle physics) from a single prompt.
It converted the PostgreSQL schema (from our initial design) into Firebase Firestore collections and security rules.
It produced the JWT middleware and rate‑limiters in under 5 minutes.
When we got stuck on PDF.js rendering for certificates, Gemini gave us a working canvas scaling solution.
This AI‑assisted development reduced our coding time from 3 weeks to 4 days – proving that “antigravity” (AI lifting the weight) is the future of rapid prototyping.
What Makes This Solution Unique & Local
For NCET (Bengaluru) – USN validation follows VTU patterns; branches restricted to those offered at our college.
Language‑aware GSA assignment – Students pick Kannada, English, or Hindi and are matched to a GSA speaking that language.
Offline‑first thinking – Even if the internet drops, the registration counter is cached locally and syncs back via Firebase.
Recycle Bin – GSAs can undo accidental deletions, a feature often missing in college‑built tools.
Impact & Results (So Far)
| Metric | Value |
|---|---|
| Events covered | Fun Night with Gemini (March 2026) |
| Students registered | 287 in first 48 hours |
| Feedback completion rate | 94% (vs. 35% before NightCap) |
| GSA time saved | ~8 hours per event (no more manual follow‑ups) |
| Duplicate submissions | 0 (gateway blocks them) |
| Public posts published | 12 announcements, 450+ views |
One GSA told us: “I used to beg students to fill feedback. Now I just share one link and watch my dashboard fill up – I even got full points for the first time.”
Future Plans (Powered by More Google AI)
Gemini‑powered smart reminders – Automatically WhatsApp students who registered but didn’t submit feedback, using personalised messages.
Feedback sentiment dashboard – Vertex AI to classify comments as positive/negative and generate weekly reports for GSAs.
QR code check‑in – Real‑time attendance using Firebase + Google Vision to scan student IDs.

Final Words to the Gen AI Academy APAC Team
This project solves a real, local, painful problem for Google Student Ambassadors in India. It uses Gemini API for code generation, content drafting, and feedback analysis, Firebase for real‑time data, and Google Compute Engine for deployment – a complete Google tech stack.
The name “NightCap Feedback” comes from the event (“Fun Night with Gemini”) + the idea of a bottle cap that locks in freshness. Our system locks in verified feedback, ensuring GSAs get the credit they deserve.
We believe this is exactly the kind of grassroots, AI‑powered solution that “Meet the Builders: 1000 Stories” wants to celebrate.
Thank you for considering our story.
